Aliases, POPs and other Email Issues

This page deals with how to make proper use of your MailServer using aliases and POPs.

What is your mailserver: It is the program on the server that handles mail addressed to your domain.

What is a POP account: A POP account is an email account given to a specific user. It has a specific login name and password.

What is an alias: An alias is an email addressed to your domain which is not a POP.

Lets illustrate the above by way of an example. Lets assume that your domain name is yourdomain.com.au; and your password is "Ssap123" here are your particulars

To capture mail for your domain you need to create an account in your email client (Outlook Express or Netscape), settings as follows:

POP3 (incoming) mail server= yourdomain.com.au
SMTP (outgoing) mail server= Use your ISP's SMTP
User Name = yourdomain
Password = Ssap123

The above account is the MASTER account.

NB: If you are not connecting to the Internet via Oznet, your ISP may have software in place that will not allow relaying of email. In such a case use your ISP's SMTP instead of "yourdomain.com.au" for the outgoing mail server only.

Once you create this account in the email client you can receive and send mail through your domain's email server.

Initial settings: Your mail server is configured to capture all aliases by the MASTER account, for example if someone sends an email to john@yourdomain.com.au it will be captured by the above. Similarly sue@yourdomain.com.au etc. Lets assume that John is in fact an employee and you want email addressed to john@yourdomain.com.au to be accessed by him only and not go to the MASTER account. You therefore create a POP account for "john" using the "Add Feature" button on the Plusmail screen to create a POP. You give it a password and inform John of his account as follows:

SMTP (outgoing) mail server= yourdomain.com.au
POP3 (incoming) mail server= yourdomain.com.au
User Name = john
Password = hispassword

The above account is John's POP account. He can only access mail sent to john@yourdomain.com.au

NB: If John is not connecting to the Internet via Oznet, his ISP may have software in place that will not allow relaying of email. In such a case use your ISP's SMTP instead of "yourdomain.com.au" for the outgoing mail server only.

ONLY CREATE POPS IF A SPECIFIC PERSON IS HANDLING A SPECIFIC EMAIL ADDRESS, OTHERWISE EVERYTHING ELSE WILL IN FACT BE CAPTURED BY THE MASTER ACCOUNT.

Redirections: To redirect email sent to an "alias" to another POP account, either on your domain or with another ISP. Never redirect an alias to another alias.

Sometimes clients create a POP like john@yourdomain.com.au and the redirect john to some other email address. This is fine for a temporary redirection. But for a permanent redirection there is no point creating a POP, just use the redirection menu to redirect anything to the "john" alias to go somewhere else.
